Job Description

Community Options, Inc. is a national non-profit agency providing services to individuals with disabilities in 11 states. 

The Administrative Assistant provides administrative and secretarial support to the department in addition to arranging meetings and conferences, obtaining supplies, coordinating direct mailings, and working on special projects. The person in this position deals with a diverse group of important external callers and visitors, as well as internal contacts at all levels of the organization.


  • High School Diploma/GED.
  • 2+ years of administrative experience.
  • Working proficiency with Microsoft Office.
  • Ability to communicate efficiently with individuals from all levels of the organization.
  • Valid Driver’s License.

Essential Functions

  • Schedules and organizes appointments, meetings, travel, conferences and departments conferences
  • Orders all office supplies on a monthly basis, along with maintaining all equipment such as postage meter, fax machines, and copier
  • Establishes, develops, maintains and updates filing system
  • Retrieves information from files when needed
  • Maintains daily and monthly schedule for all necessary staff to determine location and availability 
  • Organizes and prioritizes large volumes of information and calls
  • Responds to regularly occurring requests for information
  • Answers telephone, routes calls, takes detailed messages 
  • Completes typing and copying as needed for management staff
  • Opens, sorts and distributes mail
  • Maintains a neat and orderly office and reception area
  • Works independently and within a team on special non-recurring and ongoing projects
  • May be required to take mail to the post office using your own vehicle
  • Maintains conference room usage log
  • Checks fax machine and distributes faxes to appropriate people
  • May be required to work in a direct support professional capacity in a group home or program setting depending on the needs of the business (Please refer to the Direct Support Professional job description)
  • Other duties as assigned by supervisor 

Working Conditions:

  • Ability to move or handle mail bins generally weighing no more than 15 pounds.
  • Minimal hazards, general office working conditions.
